How to Get People to Actually Open Your Emails

The Truth Lies Within The Subject Line

In the time it took you to read this sentence, 20 million emails were written. Ever since the first electronic mail was sent in 1971, this messaging technology has consolidated itself as the preeminent business communication channel.

With the vast amount of business emails popping up in inboxes worldwide, how do you make sure your email does not get lost in the cacophony of generic online communication pieces?

Good quality content is no longer a guarantee your email will be opened and the reader will take the desired action. With an increasing number of messages trying to compete for a recipient’s limited time, having a catchy subject line can make the difference between having the reader open or completely ignore your message.

When drafting a subject line keep in mind these 5 simple guidelines:

1)    Keep the title short, ideally under 50 characters. Research indicates that subject lines with 6 to 10 words have the highest open rates at 21%.

Remember Obama’s 2012 presidential campaign?  The email with the highest opened rates had a very short 3 character subject line: “Hey”. Granted your business does not have the allure or momentum of the Obama campaign, but just keep it short!

2)    Avoid caps and exclamation marks. Yes, in theory a subject line in ALL CAPS!!!! Will stand out, but at the same time it will trigger those very sensitive anti-spam filters and your message will go to waste, literally.

3)    Don’t be afraid to use Negative Words! According to Hubspot, subject lines with negative words tend to have higher open rates. For example if you are sending an invite for a CRM implementation webinar try to make the subject line something along the lines of: “How Not To Do a CRM Implementation”. Controversy stands out, be provocative!

4)    Ask a yes or no question. This way your recipients will want to see how you can fix their problems. For example, if your subject line is: “Are You Tired of Low Quality Leads?” The reader will most likely answer yes and would want to see how your email can help them solve their low quality lead problem.

5) In the world of email subject lines there is a long list of forbidden words. Certain words will not only trigger anti-spam filters, but if they make it past these gate keepers they will most likely be ignored by the recipient. Everybody knows words such as “free” “discount” and “save” will result in low open rates, but other innocent words like “never”, “solution” and” sample” will also activate those obnoxious filters.  In other words your emails should, tell, not sell.  For a complete list of email forbidden words click here.

Dont Forget the “From” Field

Great! Your email has quality content and a winning subject line, now it’s time to make it even more appealing.  Aside from the subject line, the “from” field is the other piece of information the recipient gets to see on his inbox. The rule of thumb is to make sure that whenever possible, the email comes from someone in the company.

Those impersonal messages from “sales”, “info” or “marketing” will most likely be ignored. On the other hand if the messages come from John@companyname.com recipients will feel the email is more personalized as opposed to just another generic message.

Invest in some email intelligence software such as Signals. This freemium Google Chrome extension allows users to see who opens and clicks on your emails. Armed with this valuable information you can now tweak, edit and resend your messages to increase open and click through rates.
